Shortwave | Our new go to for email management #shortwave #L3Host #email #productivity Triaging every item in your inbox The Shortwave Method is to review every single item in your inbox one by one, make a decision about what its appropriate next step is, and organize it appropriately. You should do this first - completely - before starting any deeper work. While this may sound daunting, you'll thank yourself once you form this habit. Just like a chef can't start cooking in a dirty kitchen, you simply cannot do your best work if your inbox is a mess. For each item, you should categorize it in one of three ways: Non-actionable – use done, delete, or snooze to clear the email out of your inbox < 2-minute task – handle it immediately, then mark it done Actionable task – use stars or todos to track this as an actionable item — then come back after triage to complete the work. Our Method follows the OHIO principle of “only handle it once”. This means as you process your inbox from top to bottom, you should to make a decision on each item immediately, and move it out of the way. Try to avoid leaving emails that you've already looked at in your inbox, as you'll just need to revisit them later and re-triage them if you do. Years ago, I invested in Andrew Lee’s effort to rethink personal and team communications with Shortwave | We're Hiring!. TBH, it took me a while to get into early versions of Shortwave. It has an opinionated workflow that’s very different to Gmail and Superhuman — both of which are excellent in their own ways. But after a while, I found the zen of Shortwave, and I’ve loved it for managing my personal email. Something’s really changed over the past year. Shortwave was early to AI, and it’s been occasionally helpful, but lately, Shortwave’s AI assistant is on fire. Two recent wins today: 1. “Can you tell me how much I spent on furniture from [specific vendor] over the past five years?” — resulted in a nice, categorized, itemized list drawn from over a dozen emails. 2. “Can you find all the emails that [person] sent my wife (and that she forwarded to me) that contain PDF scans of our mail?” — after seven “reasoning” steps to figure out who the person was and to find various ways of identifying emails from her embedded in emails from my wife, boom: a list of all the emails and a summary of each PDF attachment. It’s gotten absolutely incredible. So happy for the Shortwave team, and glad to be a user!
